Sorting Out Email Signatures Across Your Team

Centralised email signature management in Microsoft 365 means every staff member's emails go out with the same branded footer, disclaimers and contact format — without them touching a thing. The cleanest way for most SA businesses is a server-side tool (Exchange transport rules or a dedicated add-on like Exclaimer or CodeTwo) so signatures are applied automatically as mail leaves your tenant, on any device.

Why do email signatures always look a mess?

Walk into any professional-services firm in Gauteng and check the last ten emails sent by staff. You'll find at least four different logo sizes, two people still using an old office address, one partner whose mobile number is wrong, someone with a rainbow-coloured font from 2014, and a junior whose signature is just "Regards, Thabo" in Calibri.

It's not that your team doesn't care. It's that nobody owns it. New staff copy the signature from whoever onboarded them. Someone updates the office number and forgets to tell anyone. Marketing rolls out a new logo and it lands in the signatures of three people who happened to be in the meeting.

For a law firm, an accounting practice or a financial adviser, that inconsistency isn't just cosmetic. Your email is your shopfront. When a client's forwarding your quote to their board and the disclaimer is missing, or the POPIA notice is on some emails but not others, it looks scrappy — and it undermines the trust you spend years building.

What does "centralised signature management" actually mean?

Instead of every user configuring their own signature in Outlook, Outlook mobile, Outlook web, and their phone's mail app (four places, four chances to get it wrong), signatures are managed centrally. IT — or whoever owns the brand — sets the template once. When Sipho in accounts sends an email from his laptop at the office, his iPhone in the car park, or Outlook on the web at home, the same branded signature is applied.

For most of our clients in the 10-80 staff range, a dedicated platform earns its keep within the first month — mostly because you stop paying IT (or your office manager) to chase signature issues one user at a time.

What should a proper business signature include?

Before you pick a tool, decide what actually needs to be in every signature. A tidy, professional signature for a South African professional-services firm typically has:

  • Full name and role
  • Firm name and department
  • Direct line, mobile, and switchboard
  • Physical office address (matters for tender submissions and legal correspondence)
  • Website
  • A short POPIA / confidentiality disclaimer
  • Optional: professional body registration (SAICA, LPC, HPCSA, FSCA FSP number)
  • Optional: one campaign banner (event, award, new service) that marketing can rotate

Keep it clean. No animated GIFs, no seven social icons in rainbow colours, no motivational quote. Your signature should read like a business card, not a bumper sticker.

How do you roll it out without breaking everyone's email?

This is where teams trip up. A few practical steps:

  1. Audit what's out there first. Ask ten staff to send you a sample email. You'll spot the patterns and the outliers.
  2. Design one master template, plus role variants. Partners might have credentials; admin staff won't. Don't try to make one template do everything.
  3. Get sign-off from the person who owns the brand and from whoever handles compliance. The POPIA disclaimer wording is worth ten minutes with your compliance lead.
  4. Pilot with one department. Roll it out to five or six users first. Check how it renders in Gmail, on iPhones, on old Outlook desktop clients, and when replying to a long thread.
  5. Turn off users' local signatures. Otherwise you'll get double signatures — the branded one plus their old "Sent from my iPhone" mess.
  6. Document who owns updates. When someone changes offices or gets promoted, one person needs to update the source-of-truth (usually Azure AD / Entra user attributes), and the signature updates automatically.

A well-configured system pulls the user's name, title, phone and photo straight from their Microsoft 365 profile. Update the profile, the signature updates itself. That's the whole point.

What are the common gotchas in a real SA setup?

A few things we see regularly when we take over Microsoft 365 management from a previous provider:

  • Signatures appearing twice because the server-side tool is running and users still have local signatures configured.
  • Signatures not applying to internal mail — some Exchange rules only trigger on outbound external mail. Fine for branding, annoying for consistency.
  • Broken images because the logo is hosted on someone's personal Dropbox that expired.
  • Reply chains getting bloated with the full banner appended to every reply. Configure it to apply only to new mail, or use a shorter reply variant.
  • Mobile signatures still saying "Sent from my Samsung" because server-side rules only stamp the message when it leaves the tenant — so on the sender's own Sent folder it can look wrong. Educate staff that recipients see the correct signature.

Frequently asked questions

Can I just use Outlook's built-in cloud signatures? Microsoft's roaming signatures work for individuals across their devices, but they don't give you central admin control across the whole company. If you're 10+ users and want consistency enforced, you'll want either a transport rule or a dedicated tool.

How much does a signature management tool cost? Most platforms price per mailbox per month. For a 30-person firm it's usually a small line item — often less than what you'd spend in IT time fixing signature complaints over a year. Get a quote based on your actual mailbox count, not marketing pages.

Will this work if some staff use Gmail or Apple Mail? Server-side signature tools apply the signature as mail leaves Microsoft 365, so it works regardless of the client the sender used. That's a big advantage over per-user Outlook signatures.

Does the POPIA disclaimer in a signature actually protect us? A disclaimer alone doesn't make you compliant — your data handling and security controls do. But a consistent confidentiality notice is a sensible baseline and shows intent, particularly on client correspondence. Speak to your compliance lead about the exact wording.

Email signatures are one of those small things that make a firm look properly organised — or don't. Once it's set up centrally, nobody thinks about it again. Staff stop fiddling. New hires are branded from day one. Partners stop emailing IT to fix a colleague's rogue signature.
