Privacy Policy

How we collect, use, and protect your personal information.

Last updated: 10 April 2026

1. Introduction

MiBOT Support ("we", "us", "our") is committed to protecting your privacy and personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA) and other applicable data protection laws.

This Privacy Policy explains how we collect, use, store, and share your personal information when you visit our website at www.mibot.co.za, use our services, or interact with us in any way.

2. Information We Collect

2.1 Information You Provide

  • Contact information: name, email address, phone number, company name, and job title when you fill in our contact form, request a consultation, or communicate with us.
  • Service information: details about your IT environment, business requirements, and technical needs provided during consultations or service delivery.
  • Payment information: billing details processed through our payment provider, Paddle.com Market Limited ("Paddle"), who acts as the Merchant of Record for transactions. We do not store your credit card or payment details directly.

2.2 Information Collected Automatically

  • Usage data: pages visited, time spent on pages, referral source, browser type, device type, and IP address.
  • Cookies and analytics: we use Google Tag Manager and Google Analytics to understand how visitors use our website. See Section 7 for cookie details.

3. How We Use Your Information

We use your personal information to:

  • Respond to your enquiries and provide requested information
  • Deliver, manage, and improve our IT services
  • Process payments through our Merchant of Record, Paddle
  • Send you relevant service updates and communications
  • Comply with legal obligations, including POPIA
  • Improve our website and user experience
  • Protect against fraud and unauthorised access

4. Paddle as Merchant of Record

For any paid services or products, Paddle.com Market Limited acts as our Merchant of Record. This means Paddle is responsible for processing your payment, handling sales tax and VAT, and issuing invoices and receipts. When you make a purchase, you are transacting with Paddle, and their Privacy Policy and Terms of Service apply to the payment processing.

Paddle may collect payment information such as your name, email, billing address, and payment method details. We do not have access to your full payment card details.

5. Legal Basis for Processing (POPIA)

We process your personal information on the following lawful grounds:

  • Consent: where you have given us explicit consent (e.g., submitting a contact form).
  • Contractual necessity: where processing is necessary to fulfil our service agreement with you.
  • Legitimate interest: where processing is necessary for our legitimate business interests, provided your rights are not overridden.
  • Legal obligation: where we are required to process your information by law.

6. Data Sharing and Third Parties

We may share your personal information with:

  • Paddle.com Market Limited: our Merchant of Record for payment processing.
  • Service providers: trusted third parties who assist us in delivering our services (e.g., cloud hosting, monitoring tools, email services), bound by data processing agreements.
  • Legal authorities: where required by law, regulation, or legal process.

We do not sell your personal information to third parties.

7. Cookies

Our website uses cookies and similar technologies:

  • Essential cookies: required for the website to function properly.
  • Analytics cookies: Google Analytics cookies to understand website usage patterns. These are anonymised where possible.
  • Marketing cookies: used to deliver relevant content and measure campaign effectiveness.

You can manage cookie preferences through your browser settings. Disabling certain cookies may affect your experience on our website.

7.1 Advertising and conversion tracking

If you accept marketing cookies, we use Meta Pixel and Google Tag to measure how visitors interact with our pages and to show you relevant content about our services on Meta (Facebook, Instagram) and Google. We also send a de-duplicated, server-side copy of conversion events (such as booking a call) to Meta's Conversions API and Google Analytics 4 — this lets us measure even when ad blockers stop the in-browser tag. Booking, contact-form, and page-view events are the only events we track. We never sell or share your information with third parties for their own marketing.

Third-party processors

  • Meta Platforms, Inc. — ad performance measurement and audience matching for our Meta Ads campaigns.
  • Google LLC — ad performance measurement (Google Ads, Google Analytics) and audience matching.
  • Calendly LLC — meeting booking. Calendly receives your name, email, and chosen time slot.

8. Data Retention

We retain your personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. When information is no longer needed, we securely delete or anonymise it.

9. Data Security

As an ISO 27001 certified company, we implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These include encryption, access controls, regular security assessments, and documented incident response procedures.

10. Your Rights Under POPIA

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Object to the processing of your personal information
  • Withdraw consent at any time
  • Lodge a complaint with the Information Regulator

To exercise any of these rights, contact us at info@mibot.co.za or call 086 999 0045.

You can withdraw your cookie consent at any time using the "Cookie preferences" link in our footer. Withdrawing consent stops new tracking; events that were already collected before you withdrew will follow the retention schedule in §8.

11. Children's Privacy

Our services are not directed at children under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. We encourage you to review this policy periodically.
