Microsoft Teams or Zoom: Which Fits Your SA Business?

By Herman du PlessisTechnically reviewed by Herman du Plessis

For most South African SMBs already paying for Microsoft 365, Teams is the better default — it's included in your licence, handles chat, calls, meetings and file collaboration in one place, and integrates with Outlook and SharePoint. Zoom still wins for large external webinars and businesses running Google Workspace or mixed environments where meeting quality and simplicity outrank tight Microsoft integration.

Why does this decision matter more than people think?

Picking the wrong collaboration platform is one of those quiet decisions that costs you for years. Staff end up juggling two tools, clients get invites from platforms they don't use, recordings live in three different places, and nobody can find that quote from the meeting last Tuesday. It's not dramatic — it's just a slow, daily drain on productivity.

Then there's the licensing bill. We regularly see SA businesses paying for Zoom Pro across the team while also paying for Microsoft 365 Business Standard — which already includes Teams. That's rands walking out the door every month for a feature you already own.

The real question isn't "which is better?" It's "which one actually fits how your team works, what you already pay for, and where your data lives?"

What do Teams and Zoom actually do?

Both platforms cover the basics: video meetings, screen sharing, chat, recording, and mobile apps. Where they diverge is in what surrounds the meeting.

Microsoft Teams is a collaboration hub. Meetings are one feature among many — you also get persistent team chat, channels organised by project or client, shared files pulled from SharePoint, task lists, and integrations with Outlook, Word, Excel and third-party apps. It's designed for the ongoing back-and-forth of daily work, not just the scheduled call.

Zoom is a meeting-first platform. It does video calls exceptionally well, with a reputation for reliability on patchy connections — genuinely useful on a South African fibre line during a bad weather day. Zoom has added Team Chat, Whiteboard and Zoom Phone, but the meeting experience is still where it shines.

How do they compare on the things SA businesses actually care about?

When does Microsoft Teams make more sense?

Teams is usually the right call if you're already on Microsoft 365, which most SA professional services firms are. You're paying for it either way, so using it means one fewer vendor, one fewer login, and one fewer bill. It also means your meeting recordings, chat history and shared files all sit inside your existing Microsoft tenant — which matters when a client sends you a due-diligence questionnaire or your auditor asks where company data lives.

Teams is particularly strong for:

  • Law firms, accounting practices and financial advisers where matter-based or client-based channels keep conversations, documents and meetings in one thread
  • Businesses standardising on Microsoft 365 for email, files and identity — Teams closes the loop
  • Hybrid teams who need chat and file collaboration between meetings, not just the meeting itself

Getting the most out of it takes a bit of setup — proper channel structure, guest access policies, and retention rules. That's where good Microsoft 365 management earns its keep.

When is Zoom still the better fit?

Zoom isn't going anywhere, and for good reason. It's the right choice when:

  • You run large external events or webinars. Zoom's webinar and events products are still more polished for audiences beyond a few hundred.
  • Your clients live in Zoom. If every client, supplier and consultant is sending Zoom links, matching their workflow reduces friction.
  • You're on Google Workspace, not Microsoft 365. Teams outside a Microsoft environment loses much of its advantage.
  • Meeting quality on unreliable connections is your top priority. Zoom's compression and adaptive bitrate handling remain excellent.

Some businesses run both — Teams internally, Zoom for external client meetings. That's fine, but it doubles your licensing and your "where is that recording?" problem. It's worth doing intentionally, not by accident.

What about security and POPIA?

Both platforms offer enterprise-grade encryption, multi-factor authentication and admin controls. The differences are in the detail: where recordings are stored, who can access them, how long they're retained, and whether guest access is locked down.

The platform isn't the risk — the configuration is. A poorly configured Teams tenant with open guest access and no retention policy is far riskier than a well-configured Zoom deployment. This is where working with an ISO 27001-certified partner matters: the configuration gets done properly the first time, and it's documented for the day a client or regulator asks. Layered cyber security services sit around whichever platform you choose.

What's the practical way to decide?

A quick decision framework:

  1. Audit what you're already paying for. If you have Microsoft 365 Business Standard or higher, you already own Teams.
  2. Ask your team what they use daily. Not what they say in a survey — what they actually open first thing Monday.
  3. Look at your top ten clients. Which platform do they send invites from?
  4. Consider your growth plans. Adding a phone system, webinars, or client portals in the next year?
  5. Get a proper setup. Whichever you choose, spend a day configuring it correctly rather than defaulting to "whatever the last person set up."

If you're weighing this up and want a straight answer for your specific setup rather than another blog post, the team at MiBOT Support runs these comparisons weekly with SA businesses. We'll look at what you're paying, how your team works, and what your clients expect — then tell you what actually fits. No jargon, no upsell to a product you don't need.

Frequently asked questions

Is Microsoft Teams really free with Microsoft 365? Teams is included with almost every Microsoft 365 business subscription from Business Basic upwards. You're already paying for it. The only add-on costs are for extras like Teams Phone (for making external calls) or Teams Premium features.

Can we use Teams and Zoom together? Yes, and many businesses do — Teams for internal collaboration and Zoom for external client calls. It works, but budget for two subscriptions, train staff on both, and be clear about which is used when. Otherwise you end up with meeting recordings and files scattered across two platforms.

Which is better for a law firm or accounting practice? Usually Teams, because matter-based or client-based channels keep chat, documents and meeting notes together — which is exactly how professional services work. It also keeps client data inside your Microsoft 365 tenant, which simplifies POPIA and due-diligence conversations.

Does the choice affect our POPIA compliance? Both platforms can be configured to meet POPIA requirements. What matters is how yours is set up — guest access, retention policies, recording storage location and admin controls. A default installation of either platform is not automatically compliant; the configuration is what counts.
